Job Description

HR Administration & Employee Records Management

  • Maintain accurate and updated employee records, including contracts, job descriptions, and benefits information.
  • Update and manage employee master databases, ensuring data integrity and confidentiality.
  • Handle HR documentation processes, including new hire paperwork, promotions, transfers, and exit formalities.
  • Monitor and track employee leave balances, absenteeism records, and attendance reports.
  • Maintain HR files and ensure compliance with data protection regulations.
  • Process and track staff requisitions and contract renewals.

Payroll Inputs & Compensation Support

  • Collect, verify, and submit payroll inputs (e.g., allowances, deductions, overtime, and bonuses) for payroll processing.
  • Maintain records of salary changes, statutory deductions, pension contributions, and benefits administration.
  • Assist in ensuring payroll accuracy and resolving discrepancies before final approval.
  • Track employee benefits enrollment, medical schemes, and insurance claims.
  • Prepare and distribute payslips and payroll reports where necessary.

Recruitment & Onboarding Support

  • Coordinate job postings, CV screening, and scheduling of interviews for various business units.
  • Assist in conducting reference checks, background verification, and pre-employment screening
  • Facilitate onboarding of new hires, including setting up training schedules and introduction to company policies
  • Maintain and update the recruitment tracker and applicant database.
  • Monitor probationary periods and coordinate performance reviews for confirmation of new employees.

Employee Engagement & Welfare Initiatives

  • Plan and execute staff engagement programs, including social events, wellness programs, and CSR activities.
  • Track and send reminders for employee birthdays, work anniversaries, and recognition programs.
  • Conduct employee pulse surveys and assist in implementing initiatives that enhance employee satisfaction.
  • Provide support on mental health, wellness, and diversity & inclusion initiatives.
  • Learning & Development Support
  • Maintain records of employee training and development programs.
  • Assist in organizing training workshops, seminars, and leadership development programs.
  • Track mandatory training compliance, ensuring employees complete required courses.

Compliance & HR Policy Implementation

  • Ensure HR policies and practices comply with local labor laws, employment standards, and company policies.
  • Maintain and update compliance reports for statutory bodies such as the National Employment Authority and the Ministry of Labor.
  • Track work permits, expatriate documentation, and legal employment requirements.
  • Support internal HR audits, ensuring compliance with regulatory and company HR standards.

Separation & Exit Management

  • Coordinate offboarding procedures, including exit interviews and clearance documentation.
  • Track resignation trends and analyze reasons for employee turnover.
  • Prepare reports on exit feedback and recommend action plans to improve retention.
  • HR Systems & Digitalization
  • Update and maintain HRIS (Human Resource Information Systems) for personnel records, payroll data, and recruitment tracking.
  • Assist in the automation and digitization of HR processes for improved efficiency.
  • Generate HR reports for management, including headcount tracking, attrition analysis, and performance tracking.

Stakeholder Support

  • Work closely with finance for payroll processing and employee compensation matters.
  • Support department heads in tracking leave records and workforce planning.
  • Act as the first point of contact for employees regarding HR-related queries and concerns.

Cross-Functional Collaboration

  • Collaborate with teams across other Business Units and contribute to projects, initiatives, or tasks that require cross-functional expertise.
  • Participate in and deliver on projects or tasks assigned from other Business Units.

Requirements

Technical and Functional Skills:

  • HRIS & Payroll Systems: Experience with HR software for payroll, employee records, and data tracking.
  • HR Documentation & Record-Keeping: Proficiency in maintaining accurate and up-to-date employee records.
  • Payroll Processing Support: Strong understanding of payroll components, deductions, and tax compliance.
  • Recruitment & Onboarding Support: Ability to manage candidate tracking and hiring processes.
  • Compliance & Labor Law Knowledge: Basic understanding of employment laws and regulations.
  • HR Data Reporting & Analytics: Ability to generate reports on HR metrics and employee trends.
  • Attention to Detail & Accuracy: Ability to maintain precise employee records and payroll submissions.
  • Confidentiality & Discretion: Ability to handle sensitive employee information with integrity.
  • Interpersonal & Communication Skills: Ability to interact with employees and managers professionally.
  • Time Management & Multitasking: Ability to manage multiple HR tasks effectively.
  • Problem-Solving & Adaptability: Quick-thinking and proactive approach to resolving HR-related issues.

Academic Qualifications

  • Bachelor’s degree or diploma in Human Resource Management, Business Administration, or a related field.
  • CHRP certification or pursuing HR professional certification (preferred).

Relevant Experience

  • 1-2 years of experience in HR administration, payroll support, or recruitment.
  • Experience in handling HR records, compliance tracking, and employee engagement.
