HR Associate - Research Job
Key responsibilities:
Support recruitment and selection of vacant positions.
- In consultation with the HRBP, identify cost effective recruitment sources to attract top talent.
- Prepare adverts for approvals and posting in the relevant job boards (Taleo, LinkedIn, print media, website, etc.).
- Prepare and support the interview process.
- Assist in developing employment contracts for new joiners.

Employee Onboarding & Experience
- Ensure that all new staff have received an induction as per laid out programme
- Conduct background checks in line with the laid down processes and obtain employment clearance from all relevant regulatory bodies.
- Ensure all staff are issued with correct Job Descriptions, which are fully signed off.
- Employee relations
- Facilitate timely staff confirmations.
- Liaise with employees and line managers as required and in a timely manner, dealing with day-to-day enquiries and problem solving where possible.
- Assist in the management of employee grievances, disputes, and disciplinary cases, ensuring equitable and fair treatment. (organizing and documenting the disciplinary hearing process)
Benefits Administration
- Facilitate timely issuance of benefits and any required support.
- Facilitate timely leave management and leave reports.
- Assist in the administration of the pension scheme for employees.
- Payroll and Benefits Administration:
- Assist in the documentation required for input for release of payroll.
- Manage employee separation including final settlement of retiring employees.
- Ensure timely processing of personal loans.
Performance Management
- Assist with performance evaluation mapping.
Human Resource Development
- Liaise with the L & D team in organizing both internal and external training.
Record Keeping
- Creating, updating, maintaining and safe keeping of all staff records and files on a continuous basis.
Quality & Compliance
- Assist and participate in audit of files to ensure completion as per JCIA standards.
- Ensure completion of Quality Variance Reports/Dashboard as per laid down timelines.
- Ensure all staff who need licenses have valid licenses on file.
Reporting
- Assist in preparing relevant monthly data for various reports (e.g. leave reports, medical usage, etc.) as may be requested.
Qualifications, Experience and Skills required:
- Bachelor’s degree in HR/ Business Administration or equivalent with an advanced Diploma in HR
- CHRP Certification will be an added advantage
- IHRM membership is required
- 2 years of relevant work experience
- Proven track record of providing People/HR administrative support to a large, multi-site, multi-disciplined organization.
- Experience of assisting with HR Processes.
- Proficient in the use of IT, and good working knowledge of Microsoft Applications such as Word, Excel & Outlook.
- Problem solving and managing tight deadlines
- Prioritization of own workload in a busy office environment.
- Accurate and timely data entry onto people systems – ensuring the ongoing integrity of data.
- Maintenance of up-to-date filing system – Inc. electronic files.
