Job Overview:

Our client in the Healthcare Consultancy is seeking to hire a highly organized and proactive Executive Assistant to support the Director. This role involves managing calendars, coordinating travel, scheduling meetings, and handling social media activities etc. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask.

Key Responsibilities:

Calendar & Meeting Management:

  • Manage and maintain executives' calendars, scheduling appointments, meetings, and events.
  • Coordinate and confirm meetings, ensuring all necessary materials are prepared in advance.
  • Handle time-sensitive scheduling conflicts and prioritize tasks effectively.

Travel Coordination:

  • Arrange domestic and international travel, including flights, accommodations, and transportation.
  • Prepare detailed itineraries and ensure smooth travel logistics.
  • Process travel expenses and reimbursements in a timely manner.

Social Media Management:

  • Assist in managing and monitoring the Director’s’ professional social media accounts.
  • Draft, schedule, and post content in alignment with branding and messaging.
  • Engage with the online audience, responding to comments and messages as needed.

Administrative Support:

  • Handle confidential documents, emails, and communications with discretion.
  • Prepare reports, presentations, and correspondence on behalf of Director.
  • Conduct research and provide insights to support decision-making.

Qualifications & Skills:

  • Bachelor’s degree or equivalent experience in business administration, communications, or a related field
  • 3+ years of experience as an Executive Assistant, Personal Assistant, Admin or in a similar role.
  • Demonstrated success in providing high-level support to demanding Executives/Directors in fast-paced, dynamic environments.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Excellent Power point presentation skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
  • Familiarity with social media platforms (LinkedIn, Twitter, Instagram, etc.)
  • Ability to multitask and prioritize tasks efficiently.
  • High level of discretion and professionalism.
